How to Turn More Dental Phone Calls Into Booked Patients

Most dental marketing budgets leak at the phone, not in the ads. This is the front-desk system we set up with practices: who answers, what they say, what happens when nobody can pick up, and the three numbers to check every week.

Short answer: to book more patients from the calls you already get, make sure someone answers during every open hour including lunch, route overflow to a second person or answering service, text back every missed call within minutes, and give the front desk a simple new-patient script that ends with a booked time. Then track three numbers weekly: answer rate, new-patient booking rate and how fast missed calls are returned.

Key takeaways
  • In a February 2026 study of 4,280 calls to 26 dental offices, 38% of calls went unanswered.
  • In the same study, only about 25% of new-patient calls booked, against 56% of existing-patient calls.
  • New patients who reach voicemail rarely leave a message. They call the next practice on the list.
  • Raising your answer rate is usually the cheapest growth available to a practice that already advertises.

How much do missed calls cost a dental practice?

Peerlogic tracked every inbound call to a 26-office dental group in February 2026. More than a third went unanswered, and new-patient callers booked far less often than existing patients.1 Your practice may do better, but most offices have never measured it.

Use the calculator to see what your answer rate does to your cost per new patient. Move "Calls answered" from 62% to 90% and watch booked patients rise without any change in ad spend.

Why do dental calls go unanswered?

When we listen to a practice's missed calls, the same four patterns come up:

  • Lunch. The whole front desk breaks at the same time and the phones go to voicemail for an hour, often during the busiest hour for calls from working patients.
  • Check-in and check-out rushes. The person at the desk is helping a patient in front of them, and the phone rings out.
  • The last hour of the day. Staff start closing up, and calls after 4 pm are missed more often than calls at 10 am.
  • After hours. Evening and weekend callers, often emergencies, reach a recording and call someone else.

How do you make sure every call gets answered?

  1. Stagger lunch. One person stays on the phones while the others eat. This one change often has the biggest effect.
  2. Route overflow. If the front desk does not pick up within four rings, the call should ring a second phone, a back-office team member or a dental answering service, before it reaches voicemail.
  3. Text back every missed call. Most phone systems can send an automatic text such as "Sorry we missed you. Reply here or we will call you back within 15 minutes." Many callers will reply.
  4. Set a call-back standard.Every missed call is returned within 15 minutes during open hours, and first thing the next morning for after-hours calls. Track it.
  5. Cover emergencies after hours. An answering service or an on-call number for real emergencies keeps those patients from going to the practice down the road.

Stop your ads when nobody can answer. In Google Ads, set an ad schedule that matches staffed phone hours, and pause call-focused ads at lunch if you cannot cover it yet. Our Google Ads structure guide shows where the setting is.

What should the front desk say to a new patient?

A script is not about sounding robotic. It makes sure every caller gets the same answers and every call ends with a question that books a time.

StageWhat to sayAvoid
GreetingPractice name, your name, and "How can I help you today?"Answering with just "Dental office"
Reason for the call"Is this for a check-up, or is something bothering you?"Jumping straight to insurance questions
Insurance"Which plan do you have? We are in network with several and file claims for you." Then answer accurately."We don't take that" without offering what you can do
Price questionsGive the new-patient exam price, explain what is included, and offer to book."It depends" with nothing after it
Booking"I have Tuesday at 10 or Thursday at 3. Which works better?""When would you like to come in?"
CloseConfirm the time, take an email and mobile number, and send a confirmation text while they are on the line.Hanging up without contact details

For emergency callers, offer the soonest same-day slot first. For implant and cosmetic enquiries, book a consult and transfer to a treatment coordinator if you have one; our implant patient playbook covers those calls in detail.

Should dental practices record calls?

Yes, with a recorded notice at the start of the call, and in line with your state's consent laws. Recordings are the only way to know why callers did not book. Listen to five new-patient calls a week as a team and score them on a simple scale:

QuestionYes / no
Was the call answered within four rings?✓ / ✗
Did the caller hear the practice name and a staff name?✓ / ✗
Was the insurance or price question answered clearly?✓ / ✗
Was a specific time offered?✓ / ✗
Did the call end with a booking or a set follow-up?✓ / ✗

Google Ads can count calls from ads as conversions once they pass a minimum length you choose.2 That tells you a conversation happened; only the front desk can tell you whether it booked. Our guide to offline conversion tracking shows how to send booked patients back to Google Ads.

Which three phone numbers should you track every week?

Answer rateanswered calls divided by all inbound calls during open hours
New-patient booking ratenew-patient calls that ended with a booked time
Missed-call return timeaverage minutes until a missed caller is called back

Most phone systems and call-tracking tools report the first and third automatically. The second needs the front desk to tag calls, or someone to review recordings. Put all three on one sheet and review them at the weekly team meeting.

Frequently asked questions

How many calls does a typical dental office miss?
In a February 2026 Peerlogic study of 4,280 calls to 26 dental offices, 38% of calls went unanswered. Most practices do not know their own rate until they measure it.
How can a dental practice book more new patients from phone calls?
Answer every call during open hours including lunch, route overflow to a second person or service, text back missed calls, use a simple script that offers specific times, and review recordings weekly.
Should a dental office use an answering service?
For overflow and after-hours calls, often yes. A dental-trained answering service can book or triage emergencies instead of sending callers to voicemail.
What should a dental receptionist say when someone asks about price?
Give the price of the new-patient exam, explain what it includes, and offer two specific appointment times. Avoid answering "it depends" without a next step.
Is it legal to record dental office phone calls?
Generally yes with a notice at the start of the call, but consent rules vary by state. Check your state's requirements and keep recordings secure because they may contain patient information.
