Short answer: offline conversion tracking means telling Google Ads which ad clicks and calls turned into booked or seen patients. For most dental practices in 2026 the simplest setup is: capture the click ID, email and phone on every enquiry, mark booked patients in a Google Sheet or your CRM, and connect that source in Google Ads Data Manager so it uploads automatically. Since June 15, 2026, new integrations must use Data Manager rather than the old Google Ads API route.
- From June 15, 2026, offline conversion imports and enhanced conversions for leads moved to the Data Manager API; developer tokens without recent use are blocked from the old Google Ads API method.
- You do not need developers. Data Manager in the Google Ads interface connects to Google Sheets, HubSpot, Salesforce and other sources.
- Adding email and phone to click-based imports gave advertisers a median 10% more conversions, according to Google.
Why does offline conversion tracking matter for a dental practice?
A dental lead is worth nothing until the patient books and shows up. If your campaigns count every form and every call as a conversion, Google's Smart Bidding treats a price shopper who never answers the phone the same as a family that books four new-patient exams.
When you send back "booked" or "showed" events, Google learns which searches, ads and times bring patients rather than enquiries, and moves budget toward them. It also gives you an honest cost per new patient instead of a cost per lead.
What changed in June 2026?
Google announced on its Ads Developer Blog in May 2026 that from June 15, 2026 the Google Ads API would stop accepting new adopters of offline conversion imports, including enhanced conversions for leads. Google's help page says these uploads are migrating to the Data Manager API, and developer tokens that did not send requests in the qualifying period are not allowlisted for the old method.
Two related changes landed around the same time. From April 2026, Google Ads accepts user-provided data from website tags, Data Manager and API connections at the same time, so you no longer pick a single method. From June 2026, enhanced conversions for web and for leads became one setting with an on/off switch.
What this means for you: if an agency or developer built your import with a custom script against the Google Ads API, ask whether it still runs. If you are starting now, set it up in Data Manager.

How do you set it up, step by step?
- Create the conversion actions. In Google Ads, go to Goals, then Summary, and create a conversion action with "Conversions offline" as the data source. Make one called "Booked new patient" and, if you can, one called "Showed new patient".
- Capture the click ID and contact details. Add hidden fields to your forms that store the GCLID from the page address, and make sure email and phone are captured. For calls, use a call-tracking number that records the click ID per call.
- Turn on enhanced conversions. Switch on enhanced conversions in your conversion settings and accept the Data Processing Terms. This lets Google match on hashed email and phone when the click ID is missing.
- Choose a data source. A shared Google Sheet with columns for click ID, email, phone, conversion name, time and value is enough for most practices. Practices on HubSpot or Salesforce can connect the CRM directly.
- Connect it in Data Manager. In Google Ads, open Tools, then Data Manager, connect the Sheet or CRM, map the columns and set a daily or weekly schedule.
- Set the primary goal. Once booked-patient data has flowed for a few weeks, make "Booked new patient" the primary conversion and keep form fills and calls as secondary. Change bidding gradually.
Upload promptly. Click-based imports are only accepted for a limited time after the click, so a quarterly upload can miss patients. Weekly is a good minimum.
We set up booked-patient tracking in Data Manager as part of every Google Ads engagement, month to month.
What are the most common mistakes?
- Counting every call. Set a minimum call length (often 60 seconds) and keep spam and existing-patient calls out.
- Losing the click ID. Booking widgets on another domain often drop it. Test with a real click before you rely on the data.
- Switching bidding overnight. Let booked-patient data build up first; a few conversions a month is too little for Smart Bidding to learn from.
- Ignoring privacy. Send only what you need. Contact details are hashed before upload, but do not send treatment or health details in any column.
