The short answer
Most dental marketing reports stop at clicks, calls and form fills. Those numbers can rise while the schedule stays empty. We follow each enquiry to its outcome: did the person book, did they show up, and what treatment did they accept? That outcome is tied back to the campaign, ad and keyword that produced it, and booked patients are sent back to Google Ads so the campaigns learn which searches turn into patients.
The result is a monthly report built on four numbers a practice owner can check against their own schedule: spend, booked patients, cost per booked patient and revenue by channel.
What we track
How booked patients get back into Google Ads
Google Ads only optimizes toward the conversions it can see. If the only conversion is a form fill, it will find more form fills, including spam and price shoppers. We import booked patients as offline conversions, so bidding favours the searches that produce real appointments.
- Capture the click. The Google click ID (GCLID) is stored with every form, booking and tracked call.
- Record the outcome. When the patient books or accepts treatment, the front desk updates the record in the CRM or sheet.
- Import it. Booked patients and their value are sent to Google Ads through Data Manager, either from the CRM or from a Google Sheet on a schedule.
- Bid on it. Campaigns are set to optimize for booked patients, not raw leads.
We send only the click ID, the conversion name, the time and a value. No treatment details or health information leave the practice. Step-by-step setup: offline conversion tracking for dental practices.
Lead handling and online scheduling
Tracking shows where patients are lost. Fixing it usually means changes to how enquiries are handled, so this is part of the work:
- Call tracking set up on every channel, with a review of how new-patient calls are answered
- Online booking and short new-patient forms on the website, so patients can book outside office hours
- CRM setup and management, so every enquiry has an owner and a recorded outcome
- A simple Google Sheet process for practices that do not want a CRM yet
What you see each month
| Spend | Ad spend by channel (Google Ads, Meta) and by campaign |
|---|---|
| Leads | Calls, forms and online bookings, with spam and existing patients removed |
| Booked patients | New patients who booked, and how many showed |
| Cost per booked patient | Spend divided by booked patients, by channel and by service |
| Revenue by channel | Accepted treatment value matched back to Google Ads, Meta and organic search |
| Return on ad spend | Revenue from marketing divided by spend, per channel |
Worked example with illustrative numbers: $3,000 of Google Ads spend producing 30 booked new patients is a $100 cost per booked patient. If 20 of them accept treatment worth $24,000 in total, that channel returned $8 for every $1 of ad spend.
What we need from the practice
- Admin access to Google Ads, Meta and Google Business Profile, in accounts the practice owns
- A front-desk routine to mark each new enquiry as booked, showed or not booked, which takes a few seconds per patient
- A treatment value for accepted cases, either per case or an agreed average per service
Where this is used
ROI tracking is included in the $4,000-a-month Growth Program and is available on its own as a single service, quoted after a free audit. It is the first thing we build for practices in every market, including Chicago, where the firm is headquartered. Related services: dental Google Ads, dental Facebook ads and dental SEO.
